Maestro Labs Pte. Ltd. is a Software Development company that uses AI to help users interact with emails in a better and more efficient way.

We understand that you are aware of and care about your own personal privacy interests, and we take that seriously. This Privacy Notice describes Maestro Labs’ policies and practices regarding its collection and use of your personal data, and sets forth your privacy rights. We recognize that information privacy is an ongoing responsibility, and so we will from time to time update this Privacy Notice as we undertake new personal data practices or adopt new privacy policies.

By using any Maestro Labs services, you acknowledge and agree to the terms outlined in this Privacy Policy. How we collect and use (process) your personal information

Maestro Labs collects personal information about its website visitors and customers. With a few exceptions, this information is generally limited to:

We use this information to provide prospects and customers with services.

We do not sell personal information to anyone and only share it with third parties who are facilitating the delivery of our services.

From time to time, Maestro Labs receives personal information about individuals from third parties. Typically, information collected from third parties will include further details on your employer or industry. We may also collect your personal data from a third party website (e.g. LinkedIn)

Use of Maestro Labs Website

As is true of most other websites, Maestro Labs’ website collects certain information automatically and stores it in log files. The information may include internet protocol (IP) addresses, the region or general location where your computer or device is accessing the internet, browser type, and operating system. We use this information to help us design our site to better suit our users’ needs. We may also use your IP address to help diagnose problems with our server and to administer our website, analyze trends, track visitor movements, and gather broad demographic information that assists us in identifying visitor preferences.

Maestro Labs has a legitimate interest in understanding how members, customers and potential customers use its website. This assists Maestro Labs with providing more relevant products and services, with communicating value to our sponsors and corporate members, and with providing appropriate staffing to meet member and customer needs.

Use of MailMaestro Outlook AddIn

To provide and operate the MailMaestro Outlook Add-In, we collect and process certain user data. This may include:
- Personally Identifiable Information (PII) such as names, address, contact details, and identification numbers.
- Financial and Payment Information related to transactions with Maestro Labs.
- Authentication Information such as logins, password and  authentication cookies.
- Personal Communications limited to information from emails.

1. Deliver and operate the MailMaestro Outlook Add-In.
2. Improve the MailMaestro Outlook AddIn's functionality.

Use of MailMaestro Chrome Extension

MailMaestro's use and transfer of information received from Google APIs to any other app will adhere to Google API Services User Data Policy, including the Limited Use requirements.

To provide and operate the MailMaestro Chrome Extension, we collect and process certain user data. This may include:
- Personally Identifiable Information (PII) such as names, address, contact details, and identification numbers.
- Financial and Payment Information related to transactions with Maestro Labs.
- Authentication Information such as logins, password and  authentication cookies.
- Personal Communications limited to information from emails.

Use of TeamsMaestro - Meeting Notes

To provide and operate the TeamsMaestro application, we collect and process certain user data.

This may include:

TeamsMaestro may collect and process the following information:
- Audio recordings of calls.
- Transcripts of call content.
- User identification details, such as names and email addresses, to deliver summaries.

We use the information we collect to:
1. Deliver and operate the TeamsMaestro application.
2. Improve the TeamsMaestro application's functionality.
3. Analyze usage patterns to better understand user preferences.
4. Identify and troubleshoot issues with the TeamsMaestro application.
5. Improve the overall user experience.

Sharing information with third parties

The personal information Maestro Labs collects from you is stored in one or more databases hosted by third parties located in the United States and the European Union.

We share personal data with trusted third-party service providers who assist in delivering our services. These providers support functionalities such as cloud storage, AI processing, transcription services, and security monitoring. All third parties are contractually bound to protect your data and use it only for the specified purposes.

We do not reveal your personal data to non-Maestro Labs persons or businesses for their independent use unless:

1. You request or authorize it.
2. The information is provided to comply with the law (e.g., law enforcement requests, subpoenas, court orders).
3. It is necessary to enforce an agreement, protect our rights, property, or safety, or protect the rights, property, or safety of others.
4. It is required to address emergencies or acts of God.It is necessary to resolve disputes or claims, or to persons demonstrating legal authority to act on your behalf.

We may gather aggregated data about our services and website visitors and disclose the results of such aggregated (but not personally identifiable) information to our partners, service providers, advertisers, and/or other third parties for marketing or promotional purposes.

The Maestro Labs website connects with LinkedIn. If you choose to share information from the Maestro Labs website through that service, you should review LinkedIn’s privacy policy. If you are a member of a third-party service, these connections may allow that service to link your visit to our site with your personal data.

To perform our services, we share email content and user instructions with third-party AI models as part of MailMaestro's functionality. In some cases, this data may be anonymized depending on the language and processing requirements. Our use of this data is strictly for service provision, and we implement measures to protect user privacy.

Transferring personal data to the U.S.

Maestro Labs has its headquarters in Singapore but our databases are located in the United States. Information we collect about you will be processed in the United States. By using Maestro Labs’ services, you acknowledge that your personal information will be processed in the United States. The United States has not sought nor received a finding of “adequacy” from the European Union under Article 45 of the GDPR. Pursuant to Article 46 of the GDPR, Maestro Labs is providing for appropriate safeguards by entering binding, standard data protection clauses, enforceable by data subjects in the EEA and the UK. These clauses have been enhanced based on the guidance of the European Data Protection Board and will be updated when the new draft model clauses are approved.

Depending on the circumstance, Maestro Labs also collects and transfers to the U.S. personal data with consent; to perform a contract with you; or to fulfill a compelling legitimate interest of Maestro Labs in a manner that does not outweigh your rights and freedoms. Maestro Labs endeavors to apply suitable safeguards to protect the privacy and security of your personal data and to use it only consistent with your relationship with Maestro Labs and the practices described in this Privacy Statement. Maestro Labs also enters into data processing agreements and model clauses with its vendors whenever feasible and appropriate. Since it was founded, Maestro Labs has received zero government requests for information.

You have a right to correct (rectify) the record of your personal data maintained by Maestro Labs if it is inaccurate. You may request that Maestro Labs erase that data or cease processing it, subject to certain exceptions. You may also request that Maestro Labs cease using your data for direct marketing purposes. In many countries, you have a right to lodge a complaint with the appropriate data protection authority if you have concerns about how Maestro Labs processes your personal data. When technically feasible, Maestro Labs will—at your request—provide your personal data to you.

Reasonable access to your personal data will be provided at no cost. If access cannot be provided within a reasonable time frame, Maestro Labs will provide you with a date when the information will be provided. If for some reason access is denied, Maestro Labs will provide an explanation as to why access has been denied.

If you are based in the European Union, you also have the right to contact the European Data Protection Supervisor or your local data protection authority.

Data storage and retention

Your personal data is stored by Maestro Labs on its servers, as well as on the servers of cloud-based database management services located in the United States and the European Union. The specific storage location depends on the service and infrastructure used, not the user’s location. We ensure that all storage locations comply with applicable data protection regulations, including GDPR.

We retain personal data only for as long as necessary to provide our services, comply with legal obligations, resolve disputes, and enforce our agreements. Retention periods vary depending on the type of data, contractual commitments, and regulatory requirements. For enterprise clients, retention settings may be customized as agreed upon.

- Service Data: This includes data generated and processed as part of delivering MailMaestro and TeamsMaestro services. Retention periods vary based on the type of data and contractual agreements. For example, certain MailMaestro data, such as email content and prompts, is retained only for a limited time, while other service-related data, such as email addresses, may be stored for longer to support functionality and security.
- Prospect Data: Retained until it no longer has business value and is then purged from Maestro Labs' systems.

All personal data that Maestro Labs controls may be deleted upon verified request from Data Subjects or their authorized agents. We do not knowingly attempt to solicit or receive information from children.

Does Maestro Labs Pte. Ltd. respond to Do Not Track Signals?

Collection of your data from our analytics cookies can be deleted. If cookies are deleted, the information collected prior to the preference change may still be used.  However, we will stop using the disabled cookie to collect any further information from your user experience. For our marketing cookie, when a user opts out of tracking, a new cookie is placed to prevent users from being tracked.
